We are looking for an enthusiastic, proactive colleague who gets energy from supporting and organizing projects and activities. A candidate who enjoys working with many different colleagues from diverse backgrounds, able to multi-task and prioritize workload.

Job Purpose

The Project Assistant will provide operational, financial and administrative organization work according to the requirements and procedures of the Hivos organization.

  • Assists Program Manager
  • Assists in preparation and dissemination of contracts for partners and consultants created on Hivos program management system (All Solutions).
  • Processes financial and operational data and supports Finance Officer/Manager
  • Monitors reporting schedules and requirements
  • Organizes meetings, (including coordinating and sending agenda), events, travel and logistics.
  • Maintains administrative systems and reporting schedules.
  • Supports internal and external communications.
  • Provides operational support to the project/program.
  • Helps improve administrative processes
  • Communicates project-related matters with both internal and external stakeholders and ensure a timely follow-up.

Profile and Skills

  • Good command of English is essential with Dutch as a Pré.
  • At least 4-6 years of relevant work experience in the field of project assistance & administration
  • Relevant level of thinking/education in secondary vocational education or higher.
  • Able to work independently, and is detailed, organized and result-oriented and able to perform many different tasks under pressure and time constraints.
  • Handles coordination and implementation of multiple projects simultaneously
  • High level of integrity and a good sense of cross-cultural communication
  • Experienced with sensitive information or working in difficult operational environments
  • Computer literate, in particular MS Word, Excel, PowerPoint and SharePoint

We offer a local contract based on Hivos local labor conditions, with remuneration commensurate with the experience and expertise.
