Following the recent transition to a new functional organizational structure a wide range of documents including Standard Operating Procedures, detailed Process manuals, Process flowcharts and various online forms used in the workflow are being updated. The Knowledge Management Intern will support the completion, organization, and dissemination of these materials and the archiving of superseded materials. The internship offers hands-on experience in experience in knowledge management, digital documentation and workflows, and internal communications in an international, mission-driven environment.
Purpose of the Assignment
The purpose of the internship is to support the organization in:
- Completing the documentation of business practices and operational processes under the functional steering model;
- Ensuring the updated information and underlying input forms for requesting, routing and approving are easily accessible for staff;
- Assisting in the preparation of training material using the updated process information;
- Systematically archiving outdated or superseded documentation
Duties and Responsibilities
The intern will support the following activities:
- Documentation on business practices and operational processes
- Process improvement through standardization and improvement of documents and workflows
- Organizing data storage structures to ensure ease of access for staff
- Storing of archived data to preserve an audit trail and organizational knowledge record
- Other Duties: Perform additional relevant tasks assigned by the supervisor e.g. testing of automated forms, testing of procurement module functionality etc.
Knowledge, Skills and Experience
- Pursuing or recently completed a degree in: Information Science, Knowledge Management, Communications, or Business Administration
- Strong writing and communication skills
- Research and analytical skills
- Knowledge of Microsoft Office
- Ability to organize and manage information effectively
- Attention to detail
- Teamwork and interpersonal skills
- Familiarity with digital knowledge management tools is an added advantage
Reporting and Supervision
The intern will work under the direct supervision of the Head of Finance or a designated supervisor. Regular feedback and mentorship will be provided throughout the internship period
