Hivos is seeking an Office Administrator to join our Netherlands Office in The Hague. In this role, you will support the smooth day-to-day operations of the office.

Position information: 

  • Location: The Hague, Global Office
  • Hours: 20-24 hours per week (preference to 4 days per week – Monday to Thursday)
  • Reports to: Administration Manager / dotted line to P&C Manager EU/SWANA
  • Salary Range: NL scale 8: €2.931,36 – €3.757,56 gross per month based on a 36 hours work

Job purpose

The Office Administrator (AO) will support the Administration function of the Netherlands Office, in ensuring efficient office operations and compliance with organizational processes. The AO will assist with filing, records management, coordination of admin logistics and support to field/admin activities as directed.

Procurement & inventory management

  • Contract management and vendor management of all assigned Vendors, including tracking of contracts, performance, and maintenance of facilities
  • Prepare payments for all admin costs: Initiate Payments on Allsolutions
  • Procure and manage inventory and supplies for the Netherlands office. ie stationery, kitchen items, cleaning items
  • Manage all assets (tagging, tracking, maintenance, disposal)
  • Secretary to the Country Procurement Committee: schedule meetings, record minutes and ensure action points are closed

Office administration

  • Monitor adherence to Operational Safety and Health Requirements in coordination with P&C Manager regarding the RI&E
  • Assist the Executive assistant on assigned duties

Facilities management

All round facilities management including and not limited to:

  • Coordinate and manage general office operations

Documentation & Record-Keeping

  • Filing and record-keeping of all operational documents.

Persons specifications

Qualifications

  • Equivalent to a Dutch MBO education.
  • Fluent in both Dutch and English (written and spoken).

Knowledge & Experience

  • 1–3 years of experience in a similar or equivalent role.
  • Proficiency in Microsoft Office and document management systems.
  • Data analysis and reporting capabilities.

Skills & Competencies

  • Strong time management skills with attention to detail while maintaining a broader perspective.
  • Highly organized, with the ability to manage and prioritize multiple tasks effectively.
  • Ability to manage multiple priorities and meet deadlines.

In this position you will work at the Hivos’ Office in the city center of The Hague. We offer a stimulating work environment in a professional international organization with very dedicated staff. We offer a local contract based on Hivos local labor conditions, with remuneration commensurate with the experience and expertise.

We provide a laptop and travel expenses according to our commuting policies, as well as participation in our pension fund. Flexible working arrangement to be discussed.
