We are looking for an experienced and enthusiastic financial professional who will serve as a senior in our Finance Global Office team.

Our finance team is the heart of all finance processes from the five Hivos Hubs worldwide and support units. It is a small, dynamic and fun team, consisting of five team members. You’ll work closely with Team Lead, who will offer guidance and support to ensure a seamless collaboration. This exciting role is brimming with potential for personal and professional growth.

Job context

The Senior Administrator is part of the Global Office (GO) Unit Global Finance & ICT and falls directly under the General Ledger Officer/Team Lead Finance GO. The Senior Administrator gives support to and intensively collaborates with the Team Lead regarding all finance issues and executes improvement projects within the realm of finance administration in assignment from the Team Lead. The Senior Finance Administrator functions as back-up in case of absence of the Team Lead.


In the Global Finance Unit the execution of the day-to-day financial administration processes as well as the execution of the financial accounts takes place. It is the heart of the integration of all finance processes from the five regional Hivos Hubs and support departments and provides the foundation for reliable, timely and complete financial information to enable financial decisions.

The Global Finance Team under the lead of the General Ledger Officer/Team Lead is responsible for the preparation of corporate budgets by establishing schedules, collecting, analyzing, and consolidating financial data and preparing month-end, quarterly and annual financial statements as well as for safeguarding the integrity of the global bookkeeping and financial administration including adherence to the HIVOS GAAP (RJ640/650).

The Senior Administrator is the senior team player who directly supports the Team Lead in fulfilling his/her/their overall responsibilities and collaborates with Team Lead in order to realize improvements in financial processes and procedures. Areas of attention for the Senior Administrator include (non-limitative):

  • Preparation and/or oversight on the payment processes in the Global Finance Unit, executing 4-eyes controls ensuring quality and timeliness of the process
  • Ensuring in collaboration with Fundraising Department the correct execution of (monthly) private fundraising direct-debit processes as well as correct administration and revenue recognition (including legacies)
  • Monitoring the completeness and correctness of bookings and journal entries to ensure reliable budget depletion overviews in the GO Support Departments; indicating or flagging accounting issues and supporting GO Support Department Managers in their financial management responsibilities
  • In collaboration with Team Lead, providing oversight in the execution of the regular monthly closure processes including checks on balance positions and specifications
  • Proposing and executing improvements in the area of Asset Management, FX management or other agreed upon improvement areas with the Team Lead
  • Acting as first line support on questions and inquiries from Regional Finance Managers (RFMs) and Budget Holders related to financial management
  • Supporting in the interim and yearly audit, with preparing and checking samples and specifications


  • Relevant HBO level of working and thinking. (Business Administration, Accountancy)
  • Relevant work experience: in (senior) finance positions > 3 years, including project finance
  • Work experience in complex international financial environments, preferably NGO’s
  • Expertise in accounting and financial administration
  • Experience in the annual reporting process/ preparing the annual accounts
  • Excellent written and verbal communication skills in both Dutch and English (preferred)
  • Must have a valid work permit for The Netherlands

We offer a contract for 36 hours per week based on Hivos Global Office labor conditions. The gross salary ranges from € 3.413,57 to € 4.626,14 per month based on a 36-hour work week. This is exclusive vacation allowance and a 3% year-end bonus.

We provide a laptop and travel expenses according to our commuting policies, as well as participation in our pension fund. Hivos additionally works according to a 50/50 schedule, which means you may work from home during half of your contract hours.
